Classifying PDFs
Properly named and classified PDFs appear in site search results with meaningful titles and are associated with the correct program. An unclassified PDF named
doc_final_v3.pdf is invisible to search.
Steps
- Log in to WordPress at awionline.org/wp-admin.
- Go to Media in the WordPress dashboard.
- In the search bar, type PDF or search by filename to find the file.
- Click the PDF, scroll down, and click "Edit more details."
- Assign the correct Program and Campaign terms.
- Update the Title field to a human-readable name—clear enough to identify without opening.
- Use title case
- Include the year if the document is dated
- No file extensions in the title (not "AWI Report 2025.pdf")
- Click Update to save.

- doc_final_v3.pdf
- report copy
- Untitled Document
- AWI (don't use AWI in PDF titles, when used often, it hurts search relevance)
The filename (the actual file on disk) does not need to change, unless it does not meet guidelines. Title should be lower case with words separated by a hyphen. It should not have AWI in the file name. It's the Title field in WordPress that drives search.
Why This Matters for Search
The site search indexes the Title and Program/Campaign fields, not the raw filename. A PDF titled "AWI Farm Animal Report 2025" tagged under Farmed Animals will appear when someone searches for either the program or keywords in the title. A file named awi-report-fa-2025-FINAL.pdf with no program assigned will not show correctly in search results.
